Is an analysis necessary for a new IP system installation?

Guest Writer | May 22, 2013 (Last update: September 23, 2017)

Many businesses are changing the way they communicate. Instead of using a switchboard over hard wired phone lines, Clearwater business phone systems are not changing to a Voice over Internet Protocol (VoIP or IP) telephone system. If you do not have one in place already, you may be wondering how to go about the switch and if you need to have an analysis of your current communications to figure out what is needed.

Why Have an Analysis

If you have a large number of employees who use the phone a lot, and there will be many people talking on the phone at the same time, you may want to have the analysis done to determine how much bandwidth will be necessary. Since the VoIP runs through your computer internet, having a lot of use can slow things down or make a phone call break up a lot. Once you know how much band width will be needed to provide you with the best performance, everything will run as if there was no change to your system as far as placing calls.

When the technician comes for the analysis, be ready to give him access to any equipment that will be using the system. If at all possible, make sure your employees are there with their laptops, tablets and mobile phones. If you will be buying new IP phones, be able to tell him which model you will be getting so he can figure that into the equation too.

Integrating Communications

IP communication systems offer you more freedom. You can integrate all forms of communication into the system. An IP system can handle text messages, voice calls, conference calls, video calls, email and instant messaging. You can also send and receive documents and images. Once you have a new system in place, you will wonder how you managed to get as much work done as you did before. Your work production will increase significantly.

Not Having an Analysis

While it is not absolutely mandatory to have a communications analysis before installing a new IP system, it is not a bad idea. If your business is small, and there are only a few phones that will be connected to it, you should not have any trouble if you forego the analysis. Your system will run well and you should not experience any problems. Consider how many different devices may be connected to your home Internet. It would be similar. If you do notice things slowing down or becoming difficult to hear, you can always have the analysis and get an upgrade according to the results.

Keep in mind, it might not be the IP system that is faltering. The equipment you are using for the communicating could be old and need an upgrade. Some older model IP phones cannot handle everything you are using it for. As technology improves, devices can become obsolete. It could also be the computer you are using to connect if you are not in the office. Having an analysis will show you

what you need to have the best performance from your new system.
